How to Get Started: Your First Resume Review

Create a vacancy, add requirements, upload PDF resumes, and run your first candidate analysis.

Your first resume review

Qualex helps you quickly compare candidate resumes with the requirements of a specific vacancy. The system analyzes the information in each resume, highlights matches and possible gaps, and explains the basis of the result.

To get a useful analysis, prepare a clear job description and PDF resumes before you begin.

Create a vacancy

Create a new vacancy in your workspace and enter the role title.

The title should be clear and specific. For example:

  • Sales Manager;
  • Customer Support Specialist;
  • Accountant;
  • HR Manager.

Specific titles make it easier to distinguish between several open positions.

Add a clear description

The job description determines which criteria will be used to analyze the resumes. Instead of general statements, describe the actual responsibilities, skills, and experience required for the role.

The most useful descriptions explain what the person will do, what experience is required, which skills are essential, and which ones are additional advantages. You can also include important tools, working conditions, and other criteria you plan to consider.

Focus on one specific role and avoid unclear, contradictory, or overly general wording.

Example job description

Position: Sales Manager

Main responsibilities:

  • communicate with potential customers by phone and messenger;
  • advise customers about the company’s services;
  • prepare commercial proposals;
  • manage customer information in a CRM system;
  • support customers from the first contact to closing the deal.

Required qualifications:

  • at least one year of sales experience;
  • strong written and verbal communication skills;
  • negotiation skills;
  • confident computer use;
  • willingness to work with a CRM system.

Preferred qualifications:

  • experience in the services industry;
  • knowledge of sales techniques;
  • experience working with business customers;
  • English language skills.

This type of description gives the system enough context to compare a candidate’s experience with the actual requirements of the vacancy.

Upload resumes

Add candidate resumes through the file upload area.

PDF files are supported. You can upload up to 300 resumes at once, and each file must be no larger than 2.5 MB.

Make sure that the files:

  • are not corrupted;
  • contain readable text;
  • are actually candidate resumes;
  • are uploaded with the necessary permission to process them.

After uploading the files, start the analysis within three minutes.

Review the analysis results

When processing is complete, each candidate will have a separate card.

The card may include:

  • the overall match score for the vacancy;
  • confirmed skills and requirements;
  • possible gaps;
  • an explanation of the result;
  • evidence from the resume;
  • additional questions, if available on your plan.

The score shows how closely the information in the resume matches the description of the specific vacancy. It is not an automatic recommendation to hire or reject a candidate.

How to read a candidate card

Do not treat the candidate’s overall match score as a final decision.

Review whether the key requirements are supported by the candidate’s experience, which skills are actually stated in the resume, which conclusions may only be assumptions, and which requirements are not sufficiently supported.

Also check whether the candidate’s experience fits this particular role and what questions should be asked during the interview.

The final decision should consider the full resume, interview results, and other important company criteria.

How to improve the results

The quality of the analysis depends largely on how clearly the vacancy is described.

Explain what the person will do, what experience is required, and which skills are essential. If a requirement is only preferred, state that separately.

For example, instead of:

We are looking for a responsible employee with good experience.

write:

We are looking for a Sales Manager with at least one year of sales experience, strong negotiation skills, and practical experience using a CRM system.

A specific description helps produce more relevant comparisons and reduces irrelevant results.

Returning to your results

After the analysis, you can save interesting candidate cards and add a status, label, or note.

You can return to saved results later within the relevant vacancy. The availability of saved cards, original PDF downloads, result exports, and file retention periods depends on your plan and data retention rules.

If you need a card or file, we recommend saving it immediately after reviewing the results.

Depending on the available features, you can:

  • save a candidate card;
  • add a status or label;
  • leave a note;
  • download an available PDF file;
  • export results to Excel.

Important to remember

Resume analysis helps speed up the initial review, but it does not replace a decision by a recruiter or hiring manager.

Check important conclusions against the original resume, clarify unclear points during the interview, and consider criteria that cannot be determined from resume text alone.
