How Qualex processes resumes and PDF files

Learn how resumes and PDF files are used for analysis, where data is processed, which services may be involved, and how long files are stored.

Why resumes are processed

Qualex processes uploaded resumes to compare information from PDF files with the description of a specific vacancy and create a result card for each candidate.

During analysis, the service may extract text from the resume, identify skills, experience, possible matches with vacancy requirements, and generate an explanation of the result.

The analysis result helps speed up initial screening, but it does not replace the professional judgment of a recruiter or hiring manager.

Where data is processed and stored

Qualex’s main infrastructure runs on servers used for the application, database, file storage, and technical processing.

At the time this article was updated, the main infrastructure uses Contabo, Europe / European Union.

For AI resume analysis and vacancy requirement review, Qualex may use Google Gemini. Payments are processed through Paddle, email messages may be sent through Brevo, and protection against automated abuse may use Cloudflare Turnstile.

Each provider is involved only for its part of the service. For example, Paddle processes payments, Gemini may be used for AI resume analysis, Brevo is used for email messages, and Contabo provides server infrastructure.

What happens to the PDF file

The PDF file is used to analyze the resume and create a result card. The result card and the PDF file itself are different data.

The card may remain available in the vacancy workspace even if the original PDF file has already been deleted according to retention rules.

On Free and Starter plans, uploaded PDF files are deleted after processing.

On Basic and Pro plans, PDF files linked to results may be stored for approximately 2 weeks. If a candidate is added to saved cards, the available PDF file is copied separately and may be stored for up to 90 days within the related vacancy.

Where results are stored

Analysis results are stored in the workspace of the related vacancy. This allows you to return to candidate cards, compare results, add notes, or work with saved cards if these features are available in your plan.

Access to results depends on the account, active plan, and data retention rules.

What to consider before uploading

Upload only resumes and candidate files that you have the right to process.

Before uploading, make sure the file belongs to the relevant vacancy, does not contain unnecessary documents, and can be read by the service. If a PDF is damaged or contains only images without accessible text, the quality of analysis may be lower.

Qualex uses resumes and related data to provide service features: analysis, result creation, storage of available cards, security, account support, and technical maintenance of the service.

We do not sell user workspace data or uploaded resumes.
